Challenge

The international enterprise needed to migrate two SharePoint Servers from separate locations to SharePoint Online and build a new corporate intranet start page to combine existing and migrated content. The first server, based on SharePoint 2013, contained two large intranets for the main German and French locations and over 90 project team sites. The second server, based on SharePoint 2010, contained another local intranet. Identifying necessary content, coordinating with global contacts, and ensuring a smooth migration process were critical tasks.

Our client, a renowned company headquartered in Asslar, Germany, is a global leader in vacuum technology, offering a comprehensive range of vacuum solutions for industrial, scientific, and semiconductor applications. They focus on delivering high-quality products and services, ensuring optimal performance and reliability for their clients worldwide.

Solution

Our approach included:


  • Content Identification and Migration Planning: We identified required content and determined whether it should be migrated into existing teams, new teams, or SharePoint communication sites, depending on the targeted audience. We coordinated with hundreds of contacts globally, utilising Power Automate to send personalised emails with a questionnaire to initial content owners. This helped us gather information about content responsibilities and efficiently set up the migration plan.

  • Migration Execution: Using the Microsoft SharePoint Migration Tool, we migrated the majority of the required data while filtering out outdated content.

  • User Training and Workshops: We conducted numerous workshops with the marketing department, showcasing the benefits of SharePoint Online. We provided user training for intranet content creators on managing SharePoint content and news publishing.

  • Corporate Intranet Portal: We created a new corporate intranet portal hub site, developing the hub site structure and global navigation in collaboration with the client. This allowed users to easily navigate through different departments, locations, and find necessary information.

  • Separate Hub Sites: The second SharePoint 2010 server's intranet was migrated to SharePoint Online as a separate hub site with associated sites for each department.

Outcome

The successful migration and modernisation of the intranet systems provided the client with a unified, efficient, and user-friendly corporate intranet. The new SharePoint Online environment facilitated improved navigation, streamlined content management, and enhanced collaboration across departments and locations. The training and workshops ensured that intranet content creators could effectively manage and publish content, maximising the benefits of the new platform. The project delivered a modern, scalable, and easily navigable intranet that met the enterprise's global needs.
