Migrating Lotus Notes Applications

2021

December

Challenge

BG-Phoenics needed to migrate several outdated Lotus Notes applications used for orders and invoice receipt and processing. The goal was to create a modern web application architecture that would support employees across various finance departments in managing internal orders, invoices, and budgets. The new system needed to be multi-client capable, allowing customisation for each client without requiring code changes.

Migrating Lotus Notes Applications

Munich, Germany

BG-Phoenics, based in Munich, Germany, is an IT service provider specializing in digitalization and IT solutions for statutory accident insurance institutions. They offer a full range of services, including digital workplaces, intelligent applications, and high-performance data center operations, supporting over 10,000 users nationwide.

Solution

We joined the Lotus Notes Migration team and designed and implemented a new web application to replace the old Lotus Notes apps. The new architecture featured the following:

  • Multi-Client Capability: The order management application was designed to be multi-client capable from the start. Each client could have its own configuration, customising fields, functions, and the appearance of the web application. New clients could be added to the database through a new configuration without needing code changes. Client separation was achieved by linking the client abbreviation to the target domain of the web instance.

  • Modern SPA Design: The web application was implemented as a modern Single-Page Application (SPA) using ASP.NET MVC and React. An SQL Server database and a SharePoint site collection were used on the backend for data management.

  • Future Integration Ready: The ASP.NET web application was designed to facilitate future integration into Microsoft 365 and Azure, allowing for potential implementation without major migration efforts.

Outcome

The new web application architecture significantly improved the efficiency and functionality of order, invoice, and budget management for BG-Phoenics' clients. The multi-client capability allowed for seamless customisation and scalability, while the modern SPA design provided a user-friendly interface. The solution's readiness for future integration into Microsoft 365 and Azure ensured that BG-Phoenics could continue to evolve their digitalisation efforts with minimal disruption.
