Migrating and Modernising the Intranet for Bayerngas

Bayerngas needed to migrate their old Intranet from SharePoint 2013 Server to SharePoint Online. The existing Intranet had a complex structure and was difficult to use. With the departure of key personnel who managed the Intranet, it became necessary to engage directly with department heads to understand their needs and ensure a successful migration.

Solution
We took a systematic approach to migrating and modernising Bayerngas's Intranet:
Workshops with Departments: Conducted workshops with each department to identify necessary content, classify data as internal or confidential, and determine if data should be migrated to existing teams, new teams, or new SharePoint sites.
New Intranet Portal: Developed a new Intranet portal on SharePoint Online with an internal news channel for all employees. We redesigned and simplified the site structure, access, and permissions concepts to make the Intranet more user-friendly and efficient.
Employee Training: Provided comprehensive online training sessions for all employees on using Microsoft Teams for collaboration and managing SharePoint pages and news publishing for the news channel.
"Our objective for the new intranet was to reflect a new corporate structure. In doing so, we aimed to make all relevant information and processes of the respective departments easily and clearly accessible to all employees.
Moreover, we wanted to fully leverage the close integration between SharePoint and Teams.

The result is a completely new intranet with a modern design that fulfills all requirements. Bayerngas employees are delighted with the new features of the intranet, such as the Form Centre, and have provided positive feedback."

Outcome
The new Intranet portal on SharePoint Online significantly improved usability and accessibility for Bayerngas employees. The streamlined site structure and enhanced permissions concept made it easier to navigate and manage content. The internal news channel facilitated better communication across the company. Employee training ensured that everyone could effectively use the new tools and features, leading to improved collaboration and information sharing. The project successfully transitioned Bayerngas to a modern, efficient, and user-friendly Intranet platform.
