Bayerngas needed to modernise a business process involving an outdated Excel on-call payroll file. Employees filled out the file after on-call duty, printed it out, obtained manager approval, and then scanned and forwarded it to the payroll office. The process was cumbersome and error-prone due to complex logic for determining pay groups based on variables like day of the week, shift times, and public holidays, which differed across two departments. Incorrect entries often led to delays in payment and additional inquiries.

Bayerngas GmbH, based in Munich, is a key player in the energy sector, focusing on the procurement, transportation, storage, and supply of natural gas. With a strong commitment to sustainability, Bayerngas is also integrating renewable gases like hydrogen and biomethane into their operations.

Lösung

We developed a Canvas app, embedded in Microsoft Teams, to simplify the process of entering on-call times and managing past entries. Key features included:


  • Automated Pay Group Calculation: The app automatically calculated the correct pay group based on the entered working hours, eliminating errors and ensuring employees received accurate payment.

  • User-Friendly Interface: Employees only needed to enter their worked hours, with the option to credit worked time as holiday instead of payment in certain cases.

  • Approval Workflow: Managers could conveniently approve the submitted timesheets directly from Teams or Outlook.

  • PDF Generation and Submission: Once approved, the app generated a prepared PDF document of the timesheet, which was forwarded to the payroll office for easy processing by external payroll administrators.

Thanks to TarasTech’s exceptional work, we have successfully and fully digitised several of these processes. Previously, recording, reviewing, approving, booking, and controlling an on-call duty required about 30 minutes per instance.
